Digital Signatures Facilitate Administration

Digital signatures facilitate administration

Use digital signatures to facilitate your company’s everyday administration!

What is a digital signature?

Getting a document like board meeting minutes signed by several people can be a real hassle. You have to print the document, put it into an envelope, buy a stamp and send it to the first signer, then repeat the process for the next person. And at the end you need to scan the signed document if you want to have a digital copy. With the help of digital signatures, you can forget about all this trouble.

Digital signing, or getting a digital signature, simply means that you use a digital service like Kuveno to sign the document digitally instead of signing it by hand and sending it around via post. This is all you need to do:

  1. Create the document in Kuveno or upload it
  2. Choose the people that should sign it (name and email)
  3. Click send

Kuveno will send out invitations, remind people to sign, and inform you when the process of digital signature is completed. Simple as that! The people signing digitally don’t even need to have an Kuveno account.

Is a digital signature legally binding?

The EU has a directive that states that An electronic signature shall not be denied legal effect and admissibility as evidence in legal proceedings solely on the grounds that it is in an electronic form”. In other words, digital signatures have to be accepted in the EU member states (European Union eIDAS EU No.910/2014). Most other countries have similar laws as well.

To apply, a digital signature has to be advanced”, which means that:

  1. It is uniquely linked to the person signing
  2. It is capable of identifying the person signing
  3. The person signing can use the process under his or her sole control
  4. It is linked to the document being signed in such a way that any later change in the document can be detected

With Kuveno, all of these four criteria are met, which means that documents signed digitally using Kuveno are legally binding.

When should I use a digital signature?

You should sign everything digitally.

Kuveno is built on the premise that your administration can be done digitally in its entirety. Often getting a document signed is the only reason you have to print out documents. To achieve totally paper-free administration, you have to use a digital signature.

In other words, you should use a digital signature every time you need something signed. As it costs you nothing, there really is no reason not to sign digitally.
